Part-Time to Full-Time Office Administrator

POSITION SUMMARY:

The Office Administrator serves as the primary front-office and administrative support role for Fostering Hope, ensuring smooth daily operations, accurate financial and donor records, and a welcoming environment for staff, volunteers, and partners. This position requires strong comfort with technology, software systems, and data accuracy, particularly related to bookkeeping, donations, and in-kind gift tracking. The ideal candidate is highly organized, detail-oriented, and confident navigating multiple systems in a mission-driven nonprofit environment.

Location: Solon, Ohio

Reports to: Chief Executive Officer

Status: Part-Time | Non-Exempt

KEY RESPONSIBILITIES:

Office & Front-Desk Operations

  • Answer and route incoming phone calls professionally

  • Greet and assist guests, volunteers, donors, and community partners

  • Manage incoming and outgoing mail, packages, and program deliveries

  • Support logistics for supply drop-offs, pickups, and program materials

Financial, Bookkeeping & Data Entry Support

  • Assist with billing, deposits, and basic bookkeeping functions

  • Record and track cash, check, and electronic deposits in coordination with leadership

  • Perform accurate data entry for donations and in-kind gifts into donor management and accounting systems

  • Maintain organized digital and physical financial records aligned with internal controls

  • Support invoice processing, expense tracking, and reconciliation efforts

Technology & Systems Management

  • Navigate and manage multiple software platforms, including accounting, donor management, and office productivity tools

  • Enter, update, and maintain donor, volunteer, and financial data with a high level of accuracy

  • Support system-based workflows for scheduling, reporting, and documentation

  • Troubleshoot basic technology issues and escalate as needed

Scheduling & Administrative Support

  • Coordinate scheduling for meetings, interviews, and appointments

  • Maintain shared calendars and meeting logistics (materials, rooms, virtual links)

  • Prepare meeting materials and assist with follow-up documentation

Office Management & Inventory

  • Monitor and maintain office and program supply inventory

  • Coordinate ordering, restocking, and organization of materials

  • Assist with organization of office and storage spaces

General Administrative Support

  • Maintain filing systems and records (digital and physical)

  • Draft basic correspondence and assist with document preparation

  • Provide administrative support for special projects and events as assigned

QUALIFICATIONS & SKILLS:

Required Qualifications

  • Prior experience in an administrative assistant, office coordinator, or similar role

  • Demonstrated comfort with technology and software systems

  • Experience with bookkeeping, billing, deposits, or financial data entry

  • Strong attention to detail and data accuracy

  • Proficiency with Microsoft Office and/or Google Workspace

Preferred Qualifications

·       Experience in a nonprofit or mission-driven organization

·       Familiarity with accounting software (e.g., QuickBooks) and donor management systems

·       Experience tracking donations and in-kind gifts

·       Ability to manage multiple priorities and deadlines

WORK ENVIRONMENT & PHYSICAL REQUIREMENTS:

·       Office-based role with frequent interaction with staff, volunteers, and visitors

·       Ability to lift and carry light to moderate packages and supplies (up to 10 lbs)

·       Occasional evening or weekend hours to support programs or events

COMPENSATION & BENEFITS:

Hourly rate: $22 - $24/hour, commensurate with experience
